We are seeking to fill the position of:

Service Administration Support - F/H



We are looking for a Service Administration Support to :


  • Handle and develop all administrative/logistics tasks related to Waters Educational Services (WES);
  • Take care of Service Contracts from validation to uploadig into our system;
  • Take in charge the management of the inventory
  • Manage the transfer of information with the Order Entry team. 

This is a permanent office-based position, located in Waters France office at Guyancourt (Yvelines - France).



WES (Waters Educational Services) 

  • Contact customers via phone and mail in pre-sales and post-sales scenarios.
  • Generate quotations and ensure proper follow-up.
  • Respond to leads in a timely and professional manner.
  • Manage all logistics related to events and trainings locally and at customer site.
  • Report monthly activities with detailed status.
  • Develop close relationships within the team.

Contracts management

  • Execute careful and efficient control of the Service Contracts prior to entering them into SAP to enable a regular update of the equipment coverage and efficient service reports upload process.
  • Advise service manager of new areas of opportunity for revenue.

Inventory management 

  • Work closely with the Service managers and Field Service Engineers to manage efficiently the inventories and spare parts logistics.
  • Assume regular return campaign to our Distribution Centers to cope with the inventory objectives.

Interaction with Order Entry 

  • Carry out daily the service reports upload and provide exhaustive report to Order Entry, monitor the billable activities and work closely with service managers to avoid any compliance deviances.
  • Works closely with the Order Entry Team to insure smooth communicationbetween our services and maximise the effenciency.


We are looking for a talented individual with the following skills and competencies:


  • Degree as Assistant, Administrative support or Assistant.
  • Good initiative self driven, dynamic, patient and highly motivated.
  • Quick learner, with the ability to work in a matrix organization.
  • Excellent communication, phone and presentation skills, both written and verbal.
  • Strong Customer Focus and Drive for Results, with an ability to adapt to changing market.
  • Excellent time management skills.
  • Strong capability to work in a team environment.


Languages: French fluent spoken/written English.
